The 3 Common Strategies

The CRM is a powerful tool for working leads, and the 3 common lead types you may want to acquire right now to work in the system are:

 ● Old Leads You Already Have (that haven't closed)
 ● Leads Available From Within Your Branch/Company
 ● Leads Realtors Have (that haven't closed)
We already have pre-built campaigns ready-to-go for all of these.  

Of course you can work other types of leads through the system too.  

Our instructions below will show you ALL options but we highly recommend you consider using your old leads (even up to 2 years old) and getting leads from Realtors.

Realtors typically have leads they haven't fully worked or closed.  This is a double-whammy for you:  Free leads & The opportunity to impress, earn the trust and provide value to a Realtor.
We also have a campaign to reach out to Realtors to see if they have leads you can work for them!
Preparing Leads For Upload Into The CRM
Leads must be in a Comma Delimited CSV file.  That's basically an Excel file but a specific type.  If the leads are in a 'standard' Excel, just choose Save As and pick this format to save it properly for upload.  No other file type will work.
Lead data must be in separate columns.  That means first name and last name must be in their own columns too, along with every other piece of info you need.  The order does NOT matter.  (If you're CSV file isn't formatted correctly, you might need to look at a few youtube videos on how to handle this type of thing within an Excel sheet if you don't know how.)

Phone numbers can be in any common format (like 555.555.555, 555-555-5555, +15555555555, +1-555-555-555 and really any other combination - each contact can be different in format too and it's no problem).
Stay organized when you add leads/contacts to the CRM.  This is especially helpful if you're uploading different types of leads or leads from different sources. You don't want to get confused in the CRM between the leads you'll get from us either.  We'll walk you through this below.

Creating Fields For Lead Data 

Need fields that don't exist to import lead data you have?  Then this is for you:

Make sure you look through the custom fields already available.  Just go to Settings, then Custom Fields and you'll see what's there. 

If you need additional fields because you want that data in the CRM, you'll create those in this same area.

Please watch the video below on how to do that.

JUST BE SURE NOT TO DELETE OR MODIFY EXISTING ONES!  This can break our automations.

STEP 1 - Prepare Tags In The CRM Before Uploading

The best & easiest way to stay organized is by using tags.  

We recommend creating the tags by naming the lead type and/or source. You can do that within one tag or you can create multiple tags.
Example:
 ● Purchase-Zillow 

[Or two separate tags like this]
 ● Purchase
 ● Zillow
Then click create tag (see below)

STEP 2 - Map The CSV To Fields In The CRM

Watch the video for the best instructions or follow-along with the screenshots below.
You will now MAP the column data (from the CRM) to the fields within the CRM.  Pay close attention to what you're doing here.  
Then choose the Upload Your CSV File option, then follow along with screenshot:
Do this while manually mapping the additional data.

STEP 3 - Finalize The Upload

Once you've mapped the data to the fields, stay with the recommended options we are showing in the screenshot unless you really understand the CRM fully already, then feel free to deviate
Assign your tags when you get to step 5 by hitting the checkbox beside the tags you want and then hit save tags.
Now just finish the upload.

It will take a few minutes and the bigger the list the longer the time.  If it doesn't upload at all, your list may be too big.  Sometimes you have to break it into lists of 1000 each or less if it's getting hung up and not importing.

Check your upload progress by going into the contacts themselves to see if they're there or click Upload Contacts again and this time hit View Past Imports to monitor the progress.

Did You Mess Up The Upload?

If you mapped data incorrectly, you can just delete the entire upload.  The same instructions on how to check your import progress apply to undoing an upload.  Just go there and delete the upload.  All the contacts will be removed and you can start again.  The delete button will be prominent!

Download Our Pre-Built Campaigns

This part's pretty simple.  We've named the campaigns to explain what they are, but we do have a reference sheet if you need more insight or info.

Once you've found the campaign you want.  Import it.  Keep in mind, when you import it, it will not include the name, so you may want to copy the name we gave it in the template before you import it or just name it to something you'll understand!

Want To Create Your Own Campaigns?

This is pretty simple too.  You can copy campaigns we have and modify them as an alternative option.  Watch the videos here on how to do that.

Just be sure that you're copying the campaigns before modifying them if they are pre-loaded campaigns we already included for the leads we're generating for you!

Copy & Edit Campaigns

As long as the campaign is already in the CRM, you can do this.

Just go the Marketing then Campaigns.  Find the campaign you want to copy and then hit the 3 dots beside it and choose to copy it.

It will create a copy but you will need to give it a name that makes sense to you and it's best to make it different in some way from what you copied it from.

Make sure you ALWAYS use Drip Mode when reactivating leads in the CRM.

Just Got The CRM In The Last 30 Days?
Take Heed Of This Warning!!!

The CRM will be in trial mode in the first 30 days and you may need to activate your subscription now or their could be major problems!

The CRM comes with credits for phone activities (text, calls & voicemails), but only so many.  If you reactivate a lot of leads (like more than 50) you could deplete them all.  You definitely don't want to do that if you're about to get leads from us too!  

When your CRM runs out of phone credits, you won't be able to text, call or leave voicemails.

Here's what to do:

Click your name in the right-hand corner and select billing from that menu then follow the screenshots:

Are You A Sub-User? (Meaning you're not the primary subscriber)

If so, you won't have this option.  You'll have to ask the primary user to do this for all accounts (theirs, yours and any other sub-users.  They'd follow the same instructions.

Use The CRM Form Builder To Capture Lead Data From Referral Partners

The Easy Way To Automate Referral-Based Leads

Ever wished a Realtor or other partner could just submit a form and you'd have the lead in your CRM and it was firing off automations automatically?

Well that's now possible.  This will make everyone's lives easier.

The CRM has a built in form system that can be connected directly to a campaign when filled-out. The form has a web-link that you can share with your referral partner.

Keep in mind, it will be best if you have a separate form for each referral partner for tracking purposes.  Once you create one, you can just copy it and attach it to a different Campaign.

Like the QR code idea in this video?  You can search for FREE QR Code Generators online.  There are tons of them.  They'll show you what to do and you'll have a QR code for the purpose described in the video above.
